The fine print

Terms & Conditions

By booking a trek, tour, trip, or any other service with Wandrcrew, you confirm that you have read, understood, and agreed to the following terms. They exist to keep every trip safe, smooth and fair for everyone on it.

1. Acceptance of terms

By making a booking with Wandrcrew, you agree to comply with these Terms & Conditions. These terms define the responsibilities of both the participant and Wandrcrew throughout the trip.

2. Identity verification

All participants must carry and present a valid government-issued photo ID whenever required. If a participant fails to provide the required identification, Wandrcrew reserves the right to deny participation or boarding without providing a refund.

3. Care of property and accommodation

Participants are expected to take reasonable care of hotels, homestays, camps, vehicles, and other facilities used during the trip. Guests must maintain cleanliness and follow responsible tourism practices. Any damage caused to property due to a participant's actions may be recovered from the concerned participant.

4. Personal belongings

Participants are responsible for their own luggage, valuables, electronic devices, documents, and other personal belongings. Wandrcrew shall not be responsible for loss, theft, misplacement, or damage to personal items during transportation, accommodation, trekking, or other activities.

5. Accommodation standards

Accommodation facilities may vary depending on the destination and availability. In remote or rural locations, participants should not expect facilities equivalent to luxury hotels. Services such as continuous electricity, hot water, air conditioning, Wi-Fi, or other modern amenities may not always be available.

6. Room categories

Unless specifically mentioned in the package details, bookings include standard-category rooms. Room upgrades, premium rooms, or additional facilities may be available at an additional cost, subject to availability at the property.

7. Accommodation for large groups

For larger groups, accommodation may be arranged across multiple hotels, properties, or buildings depending on availability. Room size, facilities, interiors, and standards may vary between properties. Wandrcrew will make reasonable efforts to maintain similar standards wherever possible.

8. Meals and food services

Meals included in a package will generally be provided according to the specified meal plan, which may include a fixed menu or buffet. Items such as snacks, beverages, desserts, special food orders, or additional meals may not be included unless specifically mentioned and may need to be paid for separately.

9. Participation in treks and adventure activities

Trekking and adventure activities involve inherent risks. Participants voluntarily take part in such activities and must follow all instructions given by trek leaders, guides, instructors, drivers, and other authorized personnel.

Failure to follow safety instructions may result in the participant being removed from an activity or the trip. Wandrcrew shall not be responsible for incidents resulting from a participant's failure to follow safety instructions or from inherent risks associated with adventure activities.

10. Travel insurance and medical expenses

Participants are strongly advised to obtain appropriate travel insurance covering accidents, medical emergencies, hospitalization, evacuation, trip interruptions, and other relevant risks.

Any medical treatment, hospitalization, medication, evacuation, or other emergency-related expenses incurred during the trip shall be borne by the participant or their family, unless specifically covered under a separate insurance policy or written agreement.

11. Misconduct and removal from the trip

Wandrcrew maintains a zero-tolerance approach toward abusive, threatening, disruptive, unlawful, or inappropriate behaviour.

Any participant who behaves improperly toward fellow participants, trek leaders, employees, drivers, guides, local residents, hotel staff, or other persons may be removed from the trip without refund.

In such circumstances, the participant will be responsible for arranging and paying for their onward travel, accommodation, and other related expenses.

12. Drugs and illegal substances

The possession, use, distribution, or consumption of illegal drugs or prohibited substances is strictly not permitted during any trip operated by Wandrcrew.

Any participant involved in such activities will be solely responsible for the resulting legal, financial, or personal consequences.

13. Missed transfers and scheduled activities

Participants are responsible for arriving at designated pickup points and meeting scheduled departure times. Wandrcrew will not be responsible for missed buses, transfers, activities, meals, accommodations, or other itinerary components caused by a participant's delay or negligence.

No refund will be provided for services missed due to late arrival or failure to follow the announced schedule.

14. Photography, video and promotional content

During trips, photographs and videos may be captured by Wandrcrew, its representatives, trek leaders, or associated photographers.

By participating in the trip, you acknowledge that such content may be used by Wandrcrew for promotional, marketing, social media, website, advertising, or other business-related purposes.

Content specifically created by Wandrcrew or its representatives during the trip shall remain the property of Wandrcrew, subject to applicable law.

15. Unforeseen circumstances

Wandrcrew shall not be responsible for delays, cancellations, route changes, or interruptions caused by circumstances beyond its reasonable control. Such circumstances may include natural disasters, extreme weather, political unrest, government restrictions, strikes, road closures, transportation disruptions, or other force majeure events.

Any additional expenses arising from such circumstances may be payable by the participant.

16. Payment requirements

The applicable trip fee must be paid in full within the payment deadline communicated at the time of booking.

If the required payment is not received within the specified period, Wandrcrew may cancel the booking and release the reserved seat or accommodation without further notice.

17. Transfer of bookings

Bookings are personal and cannot be transferred to another individual unless Wandrcrew provides prior written approval. Only participants whose names have been confirmed in the booking records will be permitted to participate.

18. Discounts and promotional offers

Discounts, promotional offers, coupon codes, and special pricing may be changed, suspended, or withdrawn by Wandrcrew at its discretion, subject to any terms specifically applicable to the particular offer.

19. Unused inclusions

No refund will be provided for any service, facility, meal, transportation, activity, accommodation, or other inclusion that a participant voluntarily chooses not to use.

20. Reporting and departure time

Participants must report at the designated pickup point at least 30 minutes before the scheduled departure time, unless a different reporting time has been communicated.

Once the vehicle or group departs, participants arriving late will be responsible for arranging and paying for their own onward travel. No refund will be provided for missed departures.

As a courtesy, Wandrcrew may attempt to contact participants before departure; however, such calls do not guarantee that the vehicle or group will be held back.

21. Alcohol and smoking

Alcohol consumption and smoking may be prohibited during trips, transportation, trekking activities, or at specific properties, depending on the applicable trip rules and local regulations.

Participants who violate these restrictions or create a safety or disturbance issue may be removed from the trip without a refund and may be responsible for their own onward travel expenses.

22. Limitation of liability

Wandrcrew, its employees, representatives, agents, trek leaders, guides, and associated service providers shall not be liable for injury, illness, loss, damage, or death arising from inherent risks of trekking, adventure activities, transportation, weather conditions, natural events, or circumstances beyond reasonable control, except to the extent liability cannot legally be excluded.

Participants are responsible for exercising reasonable care for their own safety and following all instructions provided by the trip team.

23. Changes due to weather or road conditions

For safety and operational reasons, Wandrcrew may modify, postpone, shorten, reroute, or cancel portions of an itinerary due to weather, road conditions, landslides, government restrictions, safety concerns, or other circumstances. Such changes may be made without prior notice when necessary for participant safety.

24. Emergency evacuation

If a participant requires emergency evacuation, transportation, hospitalization, or specialized medical assistance, the associated expenses shall generally be borne by the participant or their family.

The actual method of evacuation will depend on the location, weather, accessibility, availability of transport, and severity of the emergency.

25. Financial transactions between participants

Wandrcrew shall not be responsible for loans, borrowing, lending, payments, or other private financial transactions between participants. Any such transaction is solely between the individuals involved and must be resolved directly between them.

26. Dispute resolution and jurisdiction

Any dispute arising in connection with a booking or trip shall be subject to the applicable laws of India. Subject to applicable law, disputes shall fall under the jurisdiction of the courts located in the city where Wandrcrew has its registered office.

27. Leaving the tour or trip early

If a participant chooses or is required to discontinue a trip due to illness, injury, loss of documents, personal circumstances, or any other reason, unused services will not be refundable unless otherwise agreed in writing.

Any additional transportation, accommodation, medical, or other expenses will be the participant's responsibility.

28. Third-party transportation services

Transportation services, including Volvo buses or other vehicles, may be provided by independent third-party operators. While Wandrcrew will make reasonable efforts to arrange a suitable replacement in case of vehicle breakdown or service disruption, delays or changes may occur due to circumstances beyond our control.

29. Triple-sharing accommodation

In our triple-sharing accommodations, we provide an extra mattress for the third guest instead of a full bed. This arrangement is designed to ensure comfort for all participants while keeping our trips budget-friendly.

30. Trip delays and connecting transportation

Wandrcrew plans transportation and itineraries based on available information, operational experience, and reasonable planning. However, travel schedules may be affected by circumstances outside our control. These may include:

  • Vehicle breakdowns
  • Traffic congestion
  • Road closures or diversions
  • Landslides or adverse weather
  • Government restrictions
  • Delays or cancellations by third-party transport providers
  • Unavailability of scheduled transportation
  • Other unforeseen transportation-related circumstances

In the event of a transportation disruption, Wandrcrew will make reasonable efforts to arrange an alternative option wherever practically possible. However, alternative transportation may involve additional costs, which may be payable by the participant depending on the circumstances.

Participants are responsible for keeping sufficient buffer time when planning connecting buses, trains, flights, or other onward journeys. Wandrcrew cannot guarantee that the scheduled arrival time will be maintained. No refund will be provided for delays or missed connections caused by circumstances beyond Wandrcrew's reasonable control.

31. Communication during delays

When reasonably possible, participants will be informed about significant delays, route changes, transportation issues, or other operational changes. Participants are expected to remain available through the contact details provided during booking and to follow instructions communicated by the trip team.

32. Participant responsibility

Participants are expected to provide accurate information during booking, follow the instructions of the trip team, respect local communities and fellow travellers, and comply with applicable laws and regulations throughout the trip. Failure to comply with these requirements may result in removal from the trip without refund.

33. Acceptance of terms

By completing a booking or making payment for a trip with Wandrcrew, you confirm that you have read, understood, and accepted these Terms & Conditions.

Wandrcrew reserves the right to update or modify these Terms & Conditions from time to time. The applicable terms will be those communicated or published at the time of booking, subject to applicable law.
